Understand how conversational rescheduling and cancel appointments works in CloseBot

CloseBot users know how amazing their bots are at booking appointments. But in this busy world our leads may need to cancel and reschedule their appointments. Don't worry, your bot will take care of this process for you as well! This article will show you step by step how CloseBot handles conversational rescheduling.

Turn On Conversational Rescheduling

To turn on this feature, head to Modify Bot > General > General Settings > Conversational Rescheduling. Note: Best practice for this feature is to turn off Contact reached end of objectives by navigating to Detect > Stop Scenarios. This way your bot will stay on even if all your objectives have been completed and the lead can reengage with the bot if their schedule has changed.

Monitor Your CloseBot Dashboard

Once we turn on this feature and have booked an appointment with the contact, our rescheduling scenarios will appear in our Initial Check tab. We can see in our CloseBot dashboard anywhere these scenarios have been detected. In this example try_reschedule_or_cancel has been detected.

In my Initial Check section I can see the prompting which led AI to decide which scenario it should choose for the conversation. Learn more about Stop Scenarios here.

Rescheduling Detected

When our bot has detected the scenario try_reschedule_or_cancel CloseBot injects prompting to let the AI know we need to confirm with the contact that we are going to cancel their appointment and start the rescheduling process.

Confirmation Detected

In the next message I can see the bot has detected confirmed_reschedule_or_cancel and the calendar icon showing the appointment has been deleted from my calendar. I can also see in my attempts column that we are attempting my booking objective again.

Review

Now the bot will work its booking magic again! The bot will detect when leads are trying to reschedule, get confirmation, cancel the appointment, and begin the rebooking process. This process can happen anywhere in your objectives order after an appointment has been booked. The bot will work to reschedule the appointment and seamlessly continue with any objectives that have not been accomplished. Just another way CloseBot automates your lead generation process!
